3. Information we collect

Depending on the service, we may collect:

  • Contact information, including name, telephone number, email and collection address.
  • Animal information, including species, age, sex, breed, identification number and relevant health history.
  • Booking information, including requested tests, dates, service charges, payment status and booking references.
  • Diagnostic information, including specimen details, laboratory results, reports, relevant clinical history and correspondence.
  • Referring veterinarian or clinic details, where relevant to the service.
  • Communications sent through telephone, WhatsApp, email, website forms or customer support.
  • Account information and authentication details provided through supported sign-in methods.
  • Technical information such as device type, browser, IP address, security logs and website usage information, where collected.
  • Information necessary to process a complaint, correct a report, prevent fraud or meet a legal obligation.

We seek to collect information relevant to the stated purpose rather than information that is unnecessary for the service.

4. Animal and diagnostic information

Animal medical information may be linked to an identifiable owner, veterinarian or clinic. Where this makes the information personal data under applicable law, we handle it accordingly.

We use animal and diagnostic information to identify specimens, perform or arrange tests, prepare reports, support technical review, communicate with authorised recipients and maintain appropriate service records.

5. How we use information

We may use information to:

  1. Accept and manage test bookings.
  2. Arrange sample collection, handling, packaging and transport.
  3. Perform testing and coordinate external laboratory referrals.
  4. Prepare, receive, deliver and correct laboratory reports.
  5. Contact customers and authorised veterinarians regarding bookings, delays, unsuitable samples or clinically important information.
  6. Process payments, invoices, refunds and complaints.
  7. Maintain service quality, traceability, security and audit records.
  8. Prevent misuse, fraud and unauthorised report access.
  9. Meet applicable accounting, legal, regulatory and record-retention obligations.
  10. Improve our website and services using appropriately managed usage information.
  11. Send promotional communications where the required consent or other lawful basis exists.

6. Third-party laboratory disclosures

Some tests may be performed wholly or partly by an independent Third-Party Laboratory.

For those tests, we may disclose the specimen and the minimum information reasonably required to arrange testing and obtain a report. This may include the animal's identification, specimen type, relevant clinical history, requested test, referring veterinarian's details and a booking reference.

We will provide relevant disclosures and obtain any consent required by applicable law. We do not authorise an external laboratory to use shared personal information for unrelated purposes merely because it receives a specimen.

An external laboratory may independently determine certain aspects of its processing or record retention. Its own applicable privacy obligations and policies may therefore also be relevant.

7. Other service providers

We may use service providers for website hosting, secure storage, payment processing, email, messaging, authentication, analytics, sample transportation and customer support.

Access should be limited to what is reasonably required for the relevant service, with appropriate contractual, confidentiality and security safeguards where required.

We may disclose information to a competent authority, court or other recipient where required or permitted by applicable law.

We do not sell personal data.

8. Reports and authorised access

Laboratory reports may be delivered through an authenticated account, email, WhatsApp or another agreed channel.

We may verify identity or authority before releasing a report. A veterinarian or clinic should receive a customer's report only where authorised or otherwise legally permitted.

Customers are responsible for providing correct recipient details and safeguarding reports after delivery. If you believe a report has been sent to the wrong recipient or accessed without authorisation, contact us promptly.

9. Cross-border processing

A technology provider or external laboratory may process or store information outside India. Where such processing occurs, we will address it in accordance with applicable Indian law, including any relevant transfer restrictions or government requirements.

We do not promise that all service providers or external laboratories necessarily store data exclusively in India.

10. Data retention and sample disposal

We retain personal information, bookings, invoices, reports, technical records and communications for the period reasonably necessary for the relevant purpose or for any longer period required by applicable law.

Retention may depend on legal obligations, accounting requirements, dispute resolution, diagnostic traceability and legitimate quality-control needs.

Specimens are retained according to their stability, test requirements, storage arrangements and applicable laboratory procedures. An external laboratory may have a different retention period for a referred specimen.

Where retention is no longer necessary and no legal obligation requires continued storage, information will be deleted, anonymised or otherwise disposed of using an appropriate process.

11. Security safeguards

We use reasonable technical and organisational measures appropriate to the information and risks involved. These may include access restrictions, secure connections, authentication controls, staff confidentiality requirements, backups and relevant service-provider safeguards.

No electronic system, messaging platform, internet connection or storage method can be guaranteed completely secure.

Where a personal data breach occurs, we will assess and address it and provide notifications to affected individuals and authorities as required by the applicable law and provisions in force.

12. Your rights and requests

Subject to applicable law, available rights may include requesting information about personal data processing, seeking correction or completion of inaccurate information, requesting erasure where permitted, withdrawing consent where processing relies on consent, and raising a grievance.

Requests may be submitted to pashupatinathvetlab@gmail.com or +91 88175 01118.

We may request reasonable verification of identity or authority before acting. We may retain information where required by law or where another lawful basis permits continued retention.

Any statutory rights, timelines, exemptions and escalation mechanisms apply according to the provisions and rules in force at the relevant time.

Where processing relies on consent, you may withdraw consent through a reasonable available channel. Withdrawal does not invalidate processing lawfully undertaken before withdrawal.

If information is necessary to perform a requested test or comply with a legal obligation, withdrawal may mean that we cannot continue providing part of the service. We will explain the practical consequences where reasonably possible.

14. Children and representatives

Bookings should ordinarily be made by an adult or an authorised representative. Where personal data of a child is involved, we will follow the applicable legal requirements relating to children's data, parental or lawful guardian consent and any applicable exceptions.

15. Cookies and website analytics

Our website may use essential cookies or similar technologies for account security, session management and core functionality.

Where analytics or other non-essential technologies are used, their deployment and any consent mechanism will be configured in accordance with applicable law. Browser settings may allow you to restrict cookies, although some website functions may stop working.

16. Changes to this policy

We may revise this Policy when our services, external laboratory arrangements, technology or applicable law changes. The current version will display its revision date.

Where a change requires renewed consent or specific notice under applicable law, we will take the necessary steps.
